Triggers

TriggerWhat It Does
Report Completion UpdateInstantly notifies your Zap when a report is ready, passing the report ID, URL, title, and user details

Setting Up a Zap (Universal Steps)

All Wokelo Zaps follow the same four-step pattern: Step 1 — Create a Trigger Log into zapier.com, click Zap, then Trigger. Choose the app and event that starts your workflow (e.g., “New row in Google Sheets”, “New lead in HubSpot”). Step 2 — Add Wokelo as an Action Click Action, search for Wokelo AI, and select it. If it’s your first time, authenticate and connect your Wokelo account. Step 3 — Configure the Action Select the specific Wokelo action, then map the required inputs from your trigger data. Press / to browse available dynamic fields from your connected tools. Step 4 — Use the Output Every action returns a Report ID and Report URL. Map these to your tools — save to a CRM field, update a spreadsheet column, or chain into another action (e.g., download the report, then upload to Google Drive).

Example Workflows

Investment Pipeline New company added to CRM, then Generate Company Research Report, then Save report URL to deal record, then Notify investment team via Slack Pre-Meeting Prep Meeting scheduled in calendar, then Generate Pre-Meeting Brief, then Attach report link to CRM opportunity, then Email brief to attendees Competitive Intelligence Weekly scheduled trigger, then Generate Market Maps for key industries, then Upload to Google Drive, then Share digest with leadership Full Automation Loop Trigger report creation, then Listen for Report Completion Update, then Download PPTX, then Upload to cloud storage, then Update CRM, then Notify team

Best Practices

  • Validate inputs: Ensure website URLs include https:// and industry names are specific (e.g., “B2B SaaS” not just “Software”).
  • Use the Report Completion trigger before downloading — only attempt downloads on completed reports.
  • Chain actions for end-to-end automation: create → monitor completion → download → distribute.
  • Store Report IDs in your CRM or spreadsheet for future reference and audit tracking.
  • For file uploads: maximum 10 files per request, 20MB per file. Use the returned success string as input for custom workflow actions.
